A property inventory report is a detailed document that provides a comprehensive record of the condition and contents of a rental property at the beginning of a tenancy. It is a crucial document for landlords, tenants, and letting agents, as it helps to protect the interests of all parties involved in a rental agreement. The main purpose of a property inventory report is to document the condition of the property and its contents to avoid disputes over damages or missing items at the end of the tenancy.

At the end of the tenancy, the property inventory report serves as a reference point to assess any changes or damages. The landlord or letting agent will conduct a final inspection of the property, comparing its condition to the initial inventory report. Any discrepancies or damages beyond normal wear and tear can be documented in a check-out report and used to determine deductions from the tenant's security deposit.

Overall, a property inventory report helps to establish transparency, protect both the landlord and the tenant's interests, and minimise disputes over the condition of the property at the end of the tenancy. Inventory report for HMO properties in Bristol

Our inventory reports are tailored to provide detailed documentation for every tenant in a shared property. With our services, each tenant will receive a personalised inventory report specific to their own room, as well as comprehensive documentation for all communal spaces. This means clarity and

transparency for everyone living in the property.

What's included:

Rooms included in a standard inventory report: 2 downstairs reception rooms, 1 kitchen, hallways, landings, stairs, 1 bathroom, 1 WC and the relevant number of bedrooms. White goods, furnishings, gardens, smoke alarm testing and meter readings. Detailed descriptions, photo evidence, digital signing and a free tenancy guide.

 

Additional rooms, such as en-suites, laundry rooms, garages, conservatory, cellars etc are not included in the standard report price and will be charged for at a flat rate of £10.00 for each additional room. Heavily furnished properties will be charged at an additional flat rate of £10.00 extra.

What happens on the day of the inspection? 

We will visit the property at the agreed time and date to carry out the inventory report. When the report is complete and we have all the information we require from you (tenant/s name, email address and move-in date) the report will be sent to your tenants for a digital signature using their smartphone, tablet, or desktop. â€‹

How our paperless process works: 

1. We visit the property on the agreed date.

2. The report is sent to your tenants on the agreed date for a digital signature using their smartphone, tablet, or desktop.

3. We obtain two signatures from the tenant. Step 1. A signature to acknowledge and confirm safe receipt of the report. Step 2. Only once we have received a signature for step 1, the full report is made available for the tenant to view and sign within 5 days. If the tenant fails to view the full report or sign step 2, then the report will be automatically approved in 5 days using the signature from step 1.

4. Once signed, a PDF copy of the report is generated and sent to you and the tenant for safekeeping.

(Please note, that only once we have obtained the tenant's digital signature, a PDF copy of the report is generated and sent to you via email. We use a cloud-based property reporting platform to create all our reports and obtain digital signatures, meaning a PDF copy of the report is not available until the paperless approval process has been completed and digital signatures have been obtained.

Can I make changes to the report before its sent to the tenants? 

​Unfortunately, you can't make changes to the report. The inventory report would not be impartial if you were to make changes/amendments. 
Here are a few reasons why an independent inventory clerk should not allow a letting agent or landlord to make changes to the inventory report.

1. Impartiality: Allowing a letting agent or landlord to make amendments can compromise the impartiality of the report. The inventory clerk is an independent party whose role is to provide an unbiased and accurate account of the property's condition.

2. Conflict of Interest: Letting agents or landlords might have a vested interest in presenting the property in a certain way, which can lead to biased amendments that favor one party over another.

​

3. Legal Considerations: The inventory report can be used in legal disputes over property conditions, damages, or deposit returns. An unaltered, original report by an independent inventory clerk holds more weight in such proceedings.


4. Accuracy: The inventory clerk is trained and experienced in assessing and documenting property conditions. Any amendments made by someone without this expertise could introduce errors or inaccuracies.
 

When will I receive a copy of my report? 

From the date the report is sent, the tenants have 5 days to sign. You will receive a copy of your report after 5 days or sooner depending on when the tenant signs the report.

Do you take meter readings? 

Yes, we always take meter readings providing we can access the meter boxes safely and they are clearly marked.

Will you collect the keys/how will you get access? 

Yes, we will collect the keys, meet you at the property, or use a key safe.

How long do you need at the property? 

This will depend on the size and the condition of the property. For a standard 3-bedroom property, we ask for 2 hours at the property.

How do I book? 

Online bookings are available for all our services 24 hours a day. Our online booking form is the quickest and easiest way to request a booking. Simply fill in the form and we will confirm your booking details and date via email. If we require any further information we will contact you by either email or telephone. If email is your preferred method, please remember to include as much information as possible. We will need to know the service you require, the property address, the number of bedrooms, any additional rooms, key arrangments, and your booking date. Read before booking:

Please ensure the property is empty and any building or cleaning works are complete to avoid cancellation charges. Please also let us know if any of the furniture left in the property is for staging purposes, or has been gifted to the tenant.

How much does an inventory report cost?

Prices start from just £100.00. Head over to the pricing page for a breakdown. The price will vary depending on the number of rooms and whether it's furnished or unfurnished.

How do I pay? 

Letting Agents - Invoices will be issued the same day as the property inspection and payable within 5 days.

Landlords and Tenants - payment is required up-front prior to the property visit. 

A copy of your invoice will be sent to you via email.

Can I cancel my booking? 

Yes, of course. Simply send an email to info@sourcepropertyservices.co.uk to cancel or rearrange your booking. To avoid cancellation charges, please give us at least 24 hours notice. Should we need to cancel a property visit due to the property not being ready for its inspection on arrival, cancellation charges will apply. Please ensure the property is empty and any building or cleaning works are complete prior to the inspection.
